Who we are

Clay Limited (trading as CLAY) is responsible for personal data collected through clay.uk and enquiries about our services. Our registered address is Hillary House, Prospect Hill, Douglas, IM1 2EQ, Isle of Man. Contact us about privacy or your information at hello@clay.uk or write to that address.

This notice covers our website and initial business enquiries. Information we handle for clients when delivering IT services may also be covered by the relevant service agreement and the client’s own privacy notice.

Information collected through this website

  • When you contact us: your name, email address, phone number, message and information you choose to provide.
  • When you browse: technical information such as your IP address, browser, requested pages and timestamps in hosting and security logs.
  • If you allow statistics cookies: information about website visits and interactions collected using Google Analytics, including device and browser information and cookie identifiers.

Our contact form identifies required fields. Without contact details we may be unable to respond. Please do not send passwords, access credentials or sensitive personal information through the enquiry form.

Why we use information

We use enquiry information to answer questions, understand requirements and discuss our services. Where you ask us to take steps towards a contract with you, we use the information for those steps. For enquiries made on behalf of an organisation, we rely on our legitimate interests in communicating with business contacts and providing our services.

We use technical records for our legitimate interests in operating, securing and troubleshooting the website, preventing abuse and dealing with disputes. We may also need to keep or disclose records to meet legal obligations. Analytics cookies rely on your consent; you can change your choice using the website’s consent controls. Google Consent Mode may send limited cookieless signals when analytics consent is denied; this is not the same as setting analytics cookies.

Who receives information

Website enquiries are stored in our WordPress site through Gravity Forms and emailed to our CLAY enquiry mailbox. Providers involved in operating this website include WPMU DEV for hosting, Twilio SendGrid for sending notification emails, and Google for optional Analytics. Our authorised staff and providers supporting our website, email and security systems may process information for those purposes. We may disclose relevant information to professional advisers or authorities when required by law or necessary to establish or defend legal claims.

Some providers operate internationally, so processing may take place outside the Isle of Man or the UK, including in the United States. Applicable data-protection law requires an appropriate transfer mechanism where one is needed, such as a recognised adequacy decision or contractual safeguards. Contact us for information about the arrangements applicable to your data.

How long information is kept

Retention depends on the purpose of the record: whether an enquiry remains active, whether it becomes a client relationship, any contractual or statutory record-keeping requirements, and whether information is needed for a complaint or legal claim. Website entries, email copies, security logs and backups may have different retention periods. We have not yet set a single fixed period for all website enquiries. Contact us to ask about a particular record or request its deletion; we will explain if we need to retain it.

Cookies and external content

With statistics consent, a successful contact-form submission creates a first-party clay_enquiry_success cookie lasting up to two minutes. The thank-you page consumes this marker to count the enquiry once in Google Analytics. The marker contains no name, email address, phone number or message, and those form contents are not included in the enquiry event.

Essential storage supports website functions, security and remembering your consent choices. Optional statistics cookies support Google Analytics. You can accept or reject optional cookies, or change your choices later using Manage consent. Rejecting optional cookies does not prevent you from contacting us.

Embedded video and other external content can involve third-party services, such as YouTube. Where blocked by the consent controls, you can choose whether to enable that content. Links to external maps and social networks take you to services governed by their own privacy notices. Your choices and rights

Depending on the applicable law and circumstances, you can request access to your personal data, correction, deletion, restriction or a portable copy, and object to processing based on legitimate interests. You can withdraw consent at any time without affecting the lawfulness of earlier processing. Contact hello@clay.uk to make a request. We may ask for proportionate information to verify your identity; please do not send identity documents unless requested.

You can complain to the Isle of Man Information Commissioner. Where UK data-protection law applies, you can also contact the UK Information Commissioner’s Office. You do not have to contact us first to exercise that right.
